Office Policies

  • Copayments will be collected upon check in. 

  • Please arrive 20 minutes early to new visits and 10 minutes early to follow up visits.  

  • No shows or cancellations within 24 hours are subject to cancellation fee of $50 for follow up visits and $100 for new visits.

Refill Requests

Please contact your pharmacy to issue an electronic request for medication refills. Refills will be discussed at each office visit as well. Please allow 2 business days to authorize a refill, possibly longer if your medication requires review of labs needed for monitoring. We are not able to process refills over weekends or holidays, so please plan accordingly. Refills of specialty medications may require longer than 2 days to authorize.

Forms and Disability

Willow Rheumatology and Wellness will ask that you are scheduled for an office visit or telemedicine visit in order to complete any form. This ensures that your forms are filled out properly and in a timely manner.

Our clinicians at Willow Rheumatology and Wellness provide their expertise in clarifying diagnosis and developing treatment plans for patients with autoimmune and inflammatory conditions. We are not specialized in the process of disability determination. Therefore, we do not perform these evaluations nor complete forms related to disability determination. We will provide medical records to state or private entities that perform disability determination with proper consent.

Interpreter services are available upon request.

Willow rheumatology and Wellness does not routinely prescribe narcotics and will direct you to pain management if those are requested.

Team Structure

A shortage of rheumatologists exists throughout the US. In most practices, waiting times for a patient to see a rheumatologist is 3-6 months and many rheumatologists struggle to meet the needs for follow-up care of existing patients. This shortage is expected to worsen. The American College of Rheumatology has recommended the integration of Nurse Practitioners and Physician Assistants as an important way to meet the demands for rheumatology.

We are proud to have excellent advanced practice providers at Willow Rheumatology who will help reduce wait times substantially and maintain the capacity for personalized care. To maintain the success of this strategy patients may see the team NP/PA intermittently through the course of their care.

Patients are discouraged from insisting on only seeing the physician as this may cause delays in their care.

Verifying details of your insurance coverage is ultimately the patient’s responsibility. You will be notified during the visit authorization process if you are in-network or out-of-network.

Please know that most HMO plans will require a referral from primary care. 

Prior to scheduling telehealth visits, please verify that these are covered through your insurance.  If this is not a covered benefit, you may be subject to a modified office visit charge. Additionally, we do ask that our patients verify that telehealth is a covered service with your plan. If this is not a covered benefit, you may be subject to a modified office visit charge.
